Job Description :

ESP is searching for an outgoing, optimistic, and eager Front Desk Administrative Assistant that can multitask and provide the utmost professionalism while serving our candidates and clients. This position serves as the heartbeat of our operation by managing all front-desk clerical demands required to support our branch’s sales and recruiting efforts.

Main Responsibilities:


 



  • Manages office calendar and scheduling

  • Manages front-of-house clerical tasks including but not limited to application intake and training, verifying identification, and distribution of weekly payments

  • Creates information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics

  • Communicates effectively and professionally with all candidates, clients, prospects and coworkers via phone, email, text, and in-person

  • Conserve’s management’s time by reading, researching, and routing correspondence; drafting applicable letters and documents within company policy; collecting and analyzing information; initiating telecommunications

  • Maintains correct office supply inventory levels

  • Assists with completing branch’s cleaning and maintenance checklist

  • Ensures all communication sent via mail, fax or phone is distributed quickly and accordingly

  • Maintains branch sales and recruiting efforts by assisting with a variety of different clerical tasks

  • Maintains employee confidence and protects daily operations by keeping information confidential

  • Completes projects delegated from management; delivers effective and efficient results

  • Prepares and completes company forms; maintains employee personnel records using CRMs and other staffing related software. 

  • Assists Recruiters with attracting applicants by placing job postings and advertisements


Required Qualifications :

 



  • College degree preferred

  • Bilingual is a highly preferred, but not required

  • Excellent data entry skills (50+ WPM desired)

  • Strong attention to detail

  • Skilled at prioritizing, multi-tasking, and remaining organized in a fast-paced environment

  • Have excellent writing, organization, presentation, communication, and reporting skills

  • Strong computer skills in Microsoft Word and Excel (Intermediate knowledge required), Google Docs, Social Media platforms, Email Programs, CRM, Salesforce

  • Ability to work proactively to support changes in processes based on client needs

  • Knowledge of the State of Texas legislation; implements regulations with management; recommends new procedures when necessary

  • Maintains awareness of state/federal compliance requirements (i.e. Department of Homeland Security, EEO, Labor Laws, HIPPA Laws, and Compliance)
